Switched off, not reachable, wrong number: how a good auto dialer handles dead lists
Old lists are full of dead numbers. Learn how a not-reachable circuit breaker, same-day skip memory and status tagging stop a telecaller from wasting a morning on a list nobody answers.

Every team has the list. The one exported from a portal eighteen months ago, the one an agency sent, the one from the trade fair. Half the numbers are switched off, a quarter are wrong, and the good ones are buried. Manual callers know this and quietly avoid it. An auto dialer will happily call all 800 numbers, unless it is built to notice.
What “not reachable” is telling you
A single not-reachable is noise: a phone in a basement. Three in a row from the same list is information: the list is stale, or sorted so that the dead entries clump together. A dialer that ignores the pattern turns a 15-minute problem into a wasted morning.
Four behaviours that matter
1. Move on without asking
The dialer should not stop and wait for a human decision on every unanswered call. Log the attempt, apply the gap, dial the next. The caller stays in rhythm.
2. Break the circuit on a streak
After a streak of not-reachable calls (SensyConnect uses three), stop the session and say so. The caller sees “stopped: 3 not reachable in a row” and picks a better list. Nothing is lost: the queue is still there.
3. Remember what was skipped today
This one is subtle and most dialers miss it. A caller skips a number from the Reminders list at 10 am. At 2 pm they open the Leads list, and the same number is offered again. Skip memory scoped to the day stops that: a number skipped once today is not re-offered by any list today, and comes back tomorrow.
4. Tag, do not delete
Not reachable, switched off, wrong number, do not call: these are statuses, not reasons to remove a record. Tagged records let you filter the list tomorrow (call only “not reachable” again after 6 pm, drop “wrong number” for good) without ever touching Excel.
A one-day list-cleaning routine
- Import the old list with a source tag, so you know where it came from.
- Run it through the auto dialer with the after-call sheet on. Every attempt gets a status.
- Next morning, filter: Interested and Follow-up on top, Not reachable to a retry list, Wrong number and Do not call out of rotation.
- Repeat the retry list once, at a different time of day.
