Lead statuses and remarks your telecallers will actually use (with a starter list)
Too many statuses and nobody picks the right one; too few and the pipeline is mush. A practical starter set of lead statuses, how to name them, and why the remark field matters more than the status.

Statuses are the vocabulary of your pipeline. Get them right and one glance at the dashboard tells you where the day went. Get them wrong and every report needs a phone call to interpret.
The two failure modes
Too many. A team inherits a CRM with 23 statuses (“Interested - Budget issue”, “Interested - Timing”, “Follow-up 2”…). Callers cannot find the right one in the gap between calls, so they pick the top one. Reports become fiction.
Too few. “Open” and “Closed”. Now the owner cannot tell a hot lead from a dead one without reading every remark.
A starter set that works
Use the words the callers already say to each other:
| Status | Means |
|---|---|
| New | Never spoken to |
| Not reachable | Rang, switched off, no answer |
| Call back | Spoke, asked to call at a specific time |
| Interested | Wants more; brochure or visit next |
| Not interested | Clear no, for now |
| Proposal sent | Price or quote shared |
| Won | Paid or signed |
| Lost | Chose someone else or dropped |
Plus two hygiene statuses: Wrong number and Do not call. They keep the list clean without deleting history.
Colour and order matter
Put the two most-used statuses first. Give the “good” ones green tones and the “dead” ones grey so a list can be scanned. In SensyConnect you can drag to reorder, rename and recolour, and it syncs to every phone.
The remark is where the money is
Status tells you what; the remark tells the next caller how. “Interested” is useless on its own; “Interested, wife deciding, site visit Sunday 11 am, wants 3BHK facing east” is a sale waiting to happen.
Rules that keep remarks alive:
- One line, free text. No forms.
- Same moment as the status. The after-call sheet asks for both in one save.
- Suggest what was typed before. If callers type “site visit Sunday” often, the field should offer it. Learned autofill cuts typing to a tap.
- Show the last remark on the next call. If it does not appear when the phone rings, it did not need writing.
Follow-up is part of the sheet
“Call back Thursday” without a reminder is a wish. The same sheet that takes status and remark should take the next follow-up time, and that reminder should ring on the phone. Then the status “Call back” actually means something.
Make it two taps or it will not happen
Whatever set you land on, the test is speed. If status + remark + follow-up takes more than two or three taps between calls, callers will batch it and the data dies. Build the after-call sheet first, then argue about names.
Frequently asked
How many lead statuses should I have?
Eight to ten. Beyond that, callers pick the first plausible one and your reports lose meaning.
Should status be mandatory after every call?
Yes, but make it two taps. Mandatory plus slow equals ignored. In SensyConnect the after-call sheet asks for status and remark together and saves in one tap.
Can I rename statuses later?
In SensyConnect, yes: rename, recolour, reorder, and the change syncs to every phone and the dashboard. Statuses in use cannot be deleted by accident.

Why your telecalling app should speak your team's language (in day-to-day words)
Adoption of a CRM is decided in the first week, and language is a big part of it. Why SensyConnect ships in 40 languages using everyday words rather than formal translations, and what that changes on the floor.
Follow-up reminders that actually ring: how to stop losing 'call back Thursday' leads
Most follow-ups die between the promise and the phone. Here is a system where the reminder rings on the caller's phone at the exact time, opens the record, and can auto dial today's whole list.
Track paid clients, due payments and renewals from the same phone you sell on
Once a lead pays, most CRMs forget them. A simple client record (what was sold, what is paid, what is due, when it renews) plus reminders that ring turns renewals into a routine call list.
