A festival offer, a price change, a new batch starting Monday: sometimes the right move is one message to two hundred people. Done well, a WhatsApp campaign to your own leads is the highest-response marketing you own. Done badly, it costs you the number.
Segment first, always
The campaign starts with a filter, not a template:
- Status: Interested and Proposal sent, not Not interested.
- Source: the Facebook campaign, not the trade fair list.
- Tags or fields: city, product, budget band.
- Recency: contacted in the last 60 days.
A smaller, relevant list gets replies. A big, lazy list gets reports.
Templates that pass and get read
On the WhatsApp Business API, marketing messages use approved templates with variables (name, product, date). Write them the way your best caller talks, keep them short, and give a clear next step: “Reply YES and I’ll call you” or a link. Fill the variables from the record so every message reads personal.
Batches of 240, dedupe per person
The app builds batches of 240 automatically from your segment, in a stable order, so you can send batch 1, watch replies, then send batch 2. Every phone number is deduplicated at send time across leads, contacts and clients: one human, one message. Remove someone from a batch and they stay removed.
Read the report, then call
Per campaign: sent, delivered, read, replied, failed. Then the important part: the replies come back into the WhatsApp CRM inbox with an unreplied badge, and “replied to campaign X” is a segment you can auto dial. A campaign is a call list generator.
Staying on the right side of WhatsApp
- Message people who enquired with you or bought from you.
- Use the API and approved templates for anything at volume.
- Honour “stop” and opt-outs immediately; the app keeps a do-not-message flag.
- Keep quiet hours; nobody loves a 10 pm offer.
- Do not buy lists. Ever.
When not to run a campaign
If the list is under 30 people, call them. A campaign is a way to warm a list before calling, not a substitute for the call.

Can I send to leads and paid clients together?
Yes. Segments can span leads, WhatsApp CRM contacts and clients; the same phone number is deduplicated so nobody gets it twice.
Will I get blocked?
Sending relevant messages to people who enquired with you, through the API with approved templates, is the normal way businesses use WhatsApp. Blasting cold numbers from a personal app is what gets numbers banned.
