Telecalling app for real estate: from portal enquiry to site visit without a spreadsheet

How a real estate team uses an auto dialer, lead automation and WhatsApp follow-up to turn 99acres, MagicBricks, Housing and Facebook enquiries into site visits, with the owner watching each project's pipeline live.

Real estate lives and dies on the phone. The enquiry comes from a portal or an ad, the visit is fixed on a call, and the deal is closed after six follow-ups. It is also the industry where leads are most expensive and most wasted. Here is a setup that stops the waste.

Sources: one per project, one per portal

Connect each stream as its own lead source with its own rotation:

  • 99acres, MagicBricks, Housing.com exports or alerts → sheet or API
  • Facebook and Instagram lead ads per project → sheet
  • Website enquiry form → sheet or webhook
  • Walk-in register and broker referrals → copy-paste import

Tag each one. Month-end you will know which portal actually produced visits.

The first call, in minutes

New enquiry lands, gets assigned round robin to the project’s callers, pings the phone, and sits first in the auto dialer. Called from the caller’s own SIM, so it looks like a person, not a call centre.

The after-call sheet, tuned for property

Custom fields on the lead form: budget band, configuration (2BHK/3BHK), preferred location, possession timeline, source of funds. Status: Interested, Site visit fixed, Visited, Negotiation, Booked, Lost. Remark: one line, free text. Follow-up: the visit date and time, which rings on the day.

WhatsApp does the paperwork

Status → Interested sends the project brochure and location pin. Status → Site visit fixed sends the confirmation with the address and the caller’s name. The evening before, an automatic reminder. After the visit, the price sheet. All templates, all automatic, all on the record.

Site visit day

The Reminders screen shows today’s visits; the auto dialer confirms them one by one in the morning. Missed visits move to Call back with a new time in one tap.

The owner’s view

Per project: enquiries, called within 5 minutes, visits fixed, visited, booked. Per portal: the same, plus cost per visit if you enter the spend. Per caller: speed to lead and visits fixed. The weekly meeting becomes a look at one screen.

What changes in 30 days

Callers stop typing numbers and stop losing enquiries. Visits get confirmed instead of hoped for. The owner knows which portal to renew. And the list, the most valuable thing the business owns, is in the company’s account with permissions, not in eleven phones.

Frequently asked

Can I track project, budget and configuration on each lead?

Yes: custom fields (text, number, dropdown, date) on the lead form. Filter and report by them.

How do site visits get followed up?

The after-call sheet sets the visit as a follow-up reminder that rings on the day; a WhatsApp reminder can go automatically the evening before.

Different callers for different projects?

Yes: one lead source per project or portal, each with its own round-robin rotation.
