Telecalling CRM for coaching institutes and EdTech: counselling calls that convert

Admission counselling is a numbers game with a short window. How coaching institutes and EdTech teams use auto dialing, fresh-lead-first queues, WhatsApp fee brochures and renewal tracking to fill batches.

Admissions season is short, enquiries spike, and every counsellor is on the phone from morning to night. The institutes that fill batches are not the ones with the best brochure; they are the ones that call the enquiry first and follow up on time. Here is the setup.

Get every enquiry into one queue

  • Website “request a call” form → sheet or webhook
  • Facebook and Instagram lead ads per course → sheet
  • JustDial and Google Ads enquiries → sheet
  • Walk-ins and phone enquiries → typed straight in with the course as a field
  • Last year’s enquiry Excel → one-time import, tagged

Each source gets a rotation of counsellors and a tag. New enquiries are assigned round robin and dialed within minutes.

The counselling call

Custom fields on the lead form: course, preferred batch timing, class or exam year, budget, parent’s name. Statuses: Interested, Demo fixed, Demo attended, Fee discussed, Admitted, Not interested. Remark: one line. Follow-up: the demo time, ringing on the day.

WhatsApp carries the paperwork

Interested → fee structure and syllabus PDF. Demo fixed → the demo link or the address, with the counsellor’s name. Fee discussed → payment link. Automatic, from the status the counsellor already tapped.

Demo day and after

Reminders for today’s demos, auto dialed in the morning to confirm. No-shows move to Call back with one tap. Attended but not admitted goes on a 3-day follow-up rotation, all inside the same queue.

Admissions become clients

An admission is a client record: course, batch, fee paid, fee due, end date. Due-fee calls come from the Due today filter; renewals and next-level courses come from Ending in 30 days. Same phone, same after-call sheet.

What the owner watches

Enquiries by course and source, called within 5 minutes, demos fixed and attended, admissions, per counsellor. Fee due this week. Which ad campaign is producing admissions, not just enquiries. Live, no Friday report.

Why the phone, not a web CRM

Counsellors move between the front desk, the classroom and the phone. A queue on the phone with a two-tap sheet gets used; a laptop CRM gets updated “later”. The whole method depends on the update happening the moment the call ends.

Frequently asked

Can we track which course each enquiry is for?

Yes, as a custom field or by using one lead source per course, each with its own counsellor rotation.

How do fee reminders and renewals work?

Each admission is a client record with paid and due amounts and an end date. Filter Due today or Ending in 7 days and auto dial the list; reminders ring on the phone.

Do counsellors need laptops?

No. Everything happens on the phone; the owner uses the web dashboard.
